Overview of Item Free/Discount – Item Wise Scheme in MargBooks

  • In MargBooks, the Item Free/Discount – Item Wise Scheme feature allows users to apply promotional offers, free quantity schemes, and item-level discounts directly on specific products. This feature helps businesses manage sales offers efficiently and automate discount calculations during billing.

Process to Create Item Free/Discount – Item Wise Scheme in MargBooks

  • Go to Master > Sales Promotions.

  • Click on 'Create' button or press 'F2' key.

  • User will mention ' Scheme Name' as per requirement.

  • The user will select 'Item Free/Discount' from the Scheme Type dropdown.

  • User will select 'Item' from the Selection Criteria dropdown.

  • The user will specify the scheme applicability date range, along with the applicable time, as per the scheme requirements.

  • Click on 'Go To  Grid' or press 'F10' key.

  • User will select the item on which the scheme will be applied.

  • The user will define the scheme applicability 'Basis' as per requirements.
  • <> The scheme will be applied only between quantities.
    Example: If From Qty is 10 and To Qty is 20, the scheme will apply on 11 to 19
  • >= The scheme will start applying from the entered quantity and will continue for all greater quantities.
  • = The scheme will be applied only on the exact quantity entered. If the quantity becomes greater or less than that value, the scheme will not apply.

  • The user will mension From Qty, To Qty and item unit.
  • Select 'offer type' as per the scheme requirement.

  • The user can view the scheme details, and the free quantity will be applied according to the selected basis.
  • User click on the Save button to save the created scheme.

  • On this screen, the user can view the working of multiple offer types along with examples.
  • CEDAY TABLET 10 NO'S → Offer Type: Free Same Item
    If 10 units are billed → 1 additional CEDAY TABLET 10 NO'S will be free.
  • BETNOVATE C CREAM 20 G → Offer Type: Free Diff Item
    If 10 units are billed → 2 units of GABAGESIC M TABLET will be free.
  • BECADEX TABLET 500 → Offer Type: (Same) Discount %
    If 10 units are billed → 10% discount will be applied on BECADEX TABLET 500.
  • AUGUMED 625 TABLET 10'S → Offer Type: (Same) Discounted Amount
    If 10 units are billed → ₹50 discount will be applied on AUGUMED 625 TABLET 10'S.
  • DECSIR FORTE TABLET 10'S → Offer Type: (Diff) Discount %
    If 10 units are billed → 10% discount will be applied on AUGUKA 625 TABLET 6 N.
  • BETNOVATE CREAM 30 GM → Offer Type: (Diff) Discounted Amount
    If 10 units are billed → ₹5 discount will be applied on ECODEXP DROPS 30 ML.

  • The user can view the confirmation message 'Record updated successfully' after saving created scheme.
  • User also view the 'Search Bar' to search schemes, the 'Status Filter' to filter records, and the 'Action Bar' to perform the required actions.

  • On this screen, the user can view that while creating a sale bill, the scheme is automatically applied to the selected item.
  • The applied scheme is based on the Item Wise – Item Free/Discount scheme (Free Same Item).
  • To check the applied scheme, the user can click on 'Load Scheme'.

  • The user can view the applicable scheme details.

  • On this screen, the user can view that while creating a sale bill, the scheme is automatically applied to the selected item.
  • The applied scheme is based on the Item Wise – Item Free/Discount scheme (Free Different Item).
  • When the billing quantity criteria are met, the free different item is automatically added to the bill according to the scheme configuration.

  • On this screen, the user can view that while creating a sale bill, the promotional scheme is automatically applied to the selected item.
  • The scheme applies after the billing quantity criteria are matched.
  • In this example, a 10% discount is automatically picked from the Item Wise Free/Discount scheme.
  • This happens because the (Same) Discount % option was selected in the scheme.

  • On this screen, the user can view that after the billing quantity criteria are matched, a 7.69% discount is automatically picked from the Item Wise Free/Discount scheme.
  • The discount is applied because the (Same) Discounted Amount option was selected in the scheme.
  • The scheme was originally created with a value of Rs. 50, but MargBooks converts it into a percentage and displays it in Disc 1 %.
  • Calculation: 50 ÷ 650 × 100 = 7.69% (where 650 is the item value in this bill). This percentage is automatically applied to the sale bill.

  • On this screen, the user can view that after the billing quantity criteria were met, a 10% discount was automatically picked from the Item Wise Free/Discount scheme.
  • The discount is applied because the ‘Diff Discount %’ option was selected in the scheme.
  • The discount percentage is applied to a different item in the sales bill.
  • If both items are added to the sales bill, but the main item's quantity does not match the quantity defined in the scheme, the scheme will not be applied to the different item.

Note: After a Scheme has been Applied in the Sales Bill, it cannot be Deleted.

  • User can deactivate the scheme instead. Once deactivated, the scheme will no longer be available and will not be applied in the sales bill.
  • Go to Master > Sales Promotions > Click on 'Curved arrow icon'.
  • A confirmation box will open. Click Yes, and the scheme will be deactivated.

  • User can view that after a scheme is deactivated, it will appear with DeActive status and will not be applied in the sales bill.
  • If the user wants to reuse a deactivated scheme, they can click on the curved arrow icon.
  • A confirmation box will open after clicking the icon. Click Yes, and the scheme will be activated and ready for reuse.

Steps to Create Item Free/Discount – Company Wise Scheme in MargBooks

  • Go to Master > Sales Promotions.
  • Click on 'Create' button or press 'F2' key.
  • The user will select 'Item Free/Discount' from the Scheme Type dropdown.
  • User will select 'Company' from the Selection Criteria dropdown.

Note :- 'If the Include > Items box is checked, the scheme can be applied only to the selected items of that                         company'. And 'If the Items box is not checked, the scheme will apply to all items within the category for which the scheme is created'.

  • User will tick 'Include Items' checkbox.
  • The user will specify the scheme applicability date range, along with the applicable time, as per the scheme requirements.

  • User will click on 'Go To Grid' and select the company as required.

  • User can view that the "Include Items" checkbox is unchecked.
  • In this scenario, for Scheme Type 'Item-Free/Discount' with Selection Criteria 'Company', the offer types 'Discount %' and 'Discounted Amount' can be applied.

  • User clicks on Include > Items.
  • User sees an additional Item column added.
  • User clicks the Item column next to Company to open the item selection window.
  • User can select all items or only selected items to apply the scheme.

  • User will create a sale bill.
  • After billing quantity criteria is matched, the Discount % and Discounted Amount are automatically picked from the Item Wise Free/Discount scheme.
  • User will see the Discount % applied as per the percentage defined in the scheme.
  • User will see the Discounted amount taken in Rs. value, converted to a percentage, and loaded into the sale bill.

  • The user can view the applicable scheme details via click on 'Load scheme'.

Steps for Creating Item Free/Discount – Category Wise Scheme in MargBooks

  • Go to Master > Sales Promotions.
  • Click on 'Create' button or press 'F2' key.
  • The user will select 'Item Free/Discount' from the Scheme Type dropdown and 'Company' from the Selection Criteria dropdown.
  • The user clicks Go To Grid to open the category list. If categories are selected one by one, the scheme will be applied separately to each selected category.
  • To apply the scheme to all items in a category, the user should not select Include Item; to apply it only to selected items, the user should select Include Item.
  • The offer types Discount % and Discounted Amount will be applied in the Sale Bill.

  • If multiple categories are selected for creating a scheme, a confirmation box will appear.
  • User should click 'Yes' to proceed.

  • User clicks 'Yes' in the confirmation box to load multiple categories, which will be displayed as one category name followed by '+' and the number of additional categories.
  • User can hover the mouse cursor over the category name to view all categories in the mixed category.
  • User will have the scheme applied in the Sale Bill if different items from mixed categories, or items from a single category, meet the quantity criteria defined in the created scheme.

  • User enters a value in the "Price =>" field; the scheme will then be loaded for a single category or mixed category.
  • User ensures that the scheme will be applied only when both the quantity and price criteria are met.
  • User notes that if the scheme is created with Qty = 10 and Price => 100, the scheme will not be applied if the quantity is 10 but the price of even one item is less than 100.
  • User ensures that to apply the scheme, Qty = 10 and the price of all 10 quantities must be 100 or more.

  • User will create a sale bill.
  • After following the above steps, user can easily create an Item Free/Discount – Category Wise scheme.
  • User will note that after the billing quantity criteria are matched, Discount % and Discounted Amount are automatically picked from the Item Wise Free/Discount scheme.
