Overview of Shift Master in MargHR
In MargHR, the Shift Master allows HR to define and manage different work shifts by setting start/end times, break hours, grace periods, and attendance rules. This feature ensures accurate shift scheduling, better workforce planning, improved attendance tracking, and helps streamline HR operations by assigning employees to appropriate working hours.
Process to Create Shift Master in MargHR
The user will enter the details as per the requirement.
a. Shift Name: The user will enter the full name of shift e,g. Morning, Evening, as per the organisation's requirement.
b. Short Name: The user will enter an abbreviation for the shift name, e.g., 'MS' for Morning Shift or 'NS' for Night Shift.
c. Start Time: The user will define the time when the shift starts, e.g., 09:00 AM, to mark the official reporting time for employees.
d. 1st Half Upto: The user will specify the time limit for the first half of the shift.
e. Grace In Time (M): Enter the allowed late arrival grace period (in minutes), e.g., 10 minutes, beyond which late entry will be recorded.
f. Punch Acceptable From: The user will define the earliest time from which punch-ins will be accepted (before shift start), to accommodate early arrivals.
g. Shift Type: Specify the shift from the dropdown, e.g., Day, Night, or Rotational, depending on shift structure.
h. Std. Shift Hour: The user will mention the duration of the Shift.
i. End Time: Enter the time when the shift ends, e.g., 06:00 PM, to indicate the completion of working hours.
j. 2nd Half Start: The user will define the time when the second half of the shift begins, which helps in full-day attendance evaluation.
k. Grace Out Time (M): The user will enter the allowed early exit grace time (in minutes), which won't affect the attendance if within the limit.
l. Break Hours: Enter the total break duration during the shift, e.g., 01:00 for 1 hour, to exclude from working hours.
m. Working Hours: The user will mention the total expected working hours in the shift, e.g., 08:00 for 8 hours.
n. Consider Overtime in Hourly: If ticked, the system will calculate overtime based on hourly work beyond the shift time.
o. Include Weekly OFF/Holiday as Overtime: The user will select 'Yes' if working on holidays or weekly offs should be treated as overtime.
Punch Consideration
a. First Check-In and Last Check-Out: The user will select this option if attendance should be calculated from the first punch-in to the last punch-out.
b. Each Check-In and Out: The user will choose this to consider every check-in and check-out for the shift, useful in split shift scenarios.
Late Cover Policy
a. Time Flexibility: The user will select this to allow flexibility in punch timings within defined grace periods.
b. Min. Hour (Full Day): Enter the minimum working hours required for full-day attendance, e.g., 08:00.
c. Auto Adjust in 1st Half: When selected, the system will automatically adjust the late punch within the first half allowance.
d. Late Consider: Select this to mark late if the employee punches in after the grace period.
e. Grace Time Consider Without Adjustment: The system will show the grace time but will not auto-adjust it in attendance calculations.
Now, click on 'Save' button.
