Process to Create Temporary Purchase in Marg ERP Software

OVERVIEW OF TEMPORARY PURCHASE OPTION IN MARG ERP SOFTWARE

Temporary Purchase is the purchase of goods whose entry has not been generated in the software.

Usually, the user does not receive the purchase bill for the temporary purchased goods.

Suppose, if any customer visits and purchase that same product then the billing cannot be stopped of that product, as the user doesn’t want to make any losses in the business.

So, in this case, the user can generate a temporary purchase, due to which the physical stock may increase in the software but due to this the books and accounts do not get affected.

PROCESS TO CREATE TEMPORARY PURCHASE IN MARG ERP SOFTWARE

A. First way to Create Temporary Purchase in Marg ERP Software

• Go to Transactions >> Purchase >> Temporary Purchase.

• A “Temporary Purchase” window will appear with different fields.

• The user will press enter. The different fields are:

a. Challan: Here, the user will mention the challan number. Suppose, write 1 and press enter.

b. Item Description: The user will again press enter. An “Items” window will open in which the user will select that particular item which is being received in temporary purchase.

And press enter.

• The user will then select the batch.

c. Quantity:  The user will mention the quantity.

d. Purchase Rate: The purchase rate will be mentioned in items. So, the software will pick it automatically otherwise mention the purchase rate here.

• Then press enter.

• Now, the user will press “End key” and select “Yes” on “Sure To Quit” window in order to go back to the main home screen of the software.

• Now, when the user will create the Sale bill, then the user can view that the stock of this item has been increased.

• When the user receives the purchase bill then let’s see that how the user can convert this Temporary Purchase bill directly into the purchase bill.

• For which, the user will press F10 from the keyboard on Temporary Purchase window.

• A “Convert Bill” window” will appear in which the user will enter the challan number here which needs to be converted into the purchase bill.

• So, as the user has created challan number 1, so mention here 1 and press “Enter”.

• The user can also press F10 key after pressing spacebar key on that particular temporary bill.

• Then the software will directly switch to the “Ledgers” window of this purchase bill in which the user will select the creditor’s ledger “Ranbaxy India Ltd”.

• A “Purchase Entry” window will appear in which the user will mention the Party Number and then press enter.

• Again, press enter.

• Then the user can view that the software has automatically displayed all the details of item, quantity etc. here which is being taken in temporary purchase.

• Press “End” key or “Tab” key in order to save the bill.

• As the bill will get saved; the software will automatically switch to the temporary purchase window and the temporary purchase will get removed from this window.

• Now, the user will press “Enter” and click on “Yes” on “Sure to Quit” window and come to the main home screen.

B. Second way to Create Temporary Purchase in Marg ERP Software

• Suppose, the user sees that at the time of billing the stock is “NIL” and want to directly create the temporary purchase from here.

• For that go to Masters >> Marg Setups >> Control Room.

• A “Control Room” window will appear in which the user will select the option A. “Search in All”.

• Search “TEMP” here. Then click on “Accept” button.

• A “Temp” window will appear in which the user will set this option “Temporary Purchase A-Always, Y-Main Menu X-No” to A.

• Then press “Escape” key and click on “Yes” to save the changes.

• Now, whenever the user will create the sale bill then for whichever stock the temporary purchase needs to be created, the user will simply switch to that particular item and press “Star (*)” key from the keyboard.

• A “Shortage & Order” window will appear in which the user will mention the quantity in Temporary Purchase field which is being purchased like enter 100 and keep pressing enter.

• Now, the user can view that the stock level has been increased.

• Now, the user will simply create the sale bill and will save the bill by pressing “Tab” key.

• Now, the user will convert the temporary purchase into the purchase bill by following the same process as explained before.

• Go to Transactions >> Purchase >> Temporary Purchase.

• The user can view that the temporary stock which is being added from the sale bill is now shown here.

• The user will select the bill by pressing “Spacebar” key and press “F10” key on that in order to switch to the purchase bill.

• Then the user will select the ledger and keep pressing enter so that the temporary purchase gets loaded in the purchase bill.

• Now, the user will save the bill by pressing “Tab” key.
